Security safeguards
Medical Database 'Seven" provides a relatively powerful security model that allows high-level control over access to your data (user-level security ). By using passwords and set of attributes that specifies what kind of access a user has to data or objects in a database (permissions), you can allow or restrict the access of users, or groups of users, to the objects in a Microsoft Access database. However, keep in mind that Microsoft Access cannot be completely secure, since there are many cheap software tools that can be found on the web for recovering user passwords. You must always apply other appropriate safeguards, using antivirus software, taking due precautions when opening files, and maintaining a safer database environment.
User passwords
Microsoft Access uses by default the Workgroup Information File system.mdw. The workgroup information file is an indispensable component when you use a Microsoft Access database (MDB). This file is an essential component of Microsoft Access security.
In the case of Medical Database 'Seven", Microsoft Access reads the Workgroup Information File Seven.mdw when opening the CodeMD.mde (application database) or DataMD.mdb (Data database), to determine who is allowed to access objects in the databases and which permissions they have to these objects. Microsoft Access reads this file at startup.
You must identify yourself at start-up by entering a valid user account name and password. You can find user accounts and default passwords in Readme file in the application directory (usually C:\MDbaseSeven). You must change the default passwords and store your own in a safe location. Do not lose them!!Finally backup your Seven.mdw.
How to change Default User passwords in Workgroup Information File:
- Start Medical Database Seven.
- Logon as Super Administrator (default director).
- On the Tools menu, point to Security, and then click User and Group Accounts.
- On the Users page, select the a User Name ...
- Click the Change Logon Password tab. In the Old Password text box, type your old password.
- In the New Password and the Verify text boxes, type the new password , and then click OK.
- Repeat the same procedure for the other users.
- Copy the Seven.mdw in application directories across your network.
How to start the secured database
During installation, “Seven” creates appropriate shortcuts (Medical Database "Seven") in Windows Desktop and All Programs group in order to open the secured application front-end (CodeMD.mde) with the appropriate Workgroup Information File (seven.mdw).
You may recreate those shortcuts in Windows Desktop following the steps below:
- Open the Application Folder (usually C:\MDbaseSeven)
- Open the Folder Start application
- Right Click on "Start Seven Frond End" Icon
- Select Send To
- Click Desktop
- The shortcut is recreated in Desktop.
The database can also be opened manually.
- Start Medical Database Seven.
- On the Tools menu, point to Security, and then click Workgroup Administrator.
- In the Workgroup Administrator dialog box, click Join.
- Type the path and name of the workgroup information file defining the Microsoft Access workgroup you wish to join (usually C:\MDbaseSeven\Seven.mdw), and then click OK, or click Browse and then use the Select Workgroup Information File dialog box to locate the workgroup information file. The next time you run Microsoft Access, it uses the user and group accounts and passwords stored in the workgroup information file for the workgroup you joined.
To create a new user in a workgroup:
- Start Medical Database Seven.
- Logon as Super Administrator (default director).
- On the Tools menu, point to Security, and then click User and Group Accounts.
- On the Users page, select New.. to open the New User/Group dialog box.
- Create a user account , as follows:
Name: ......something..
Personal ID: 1qQsR.. (etc)
Click OK.
- From the User Name drop-down list, select the previous Name.
- From the Available Group list, select appropriate group (Full Data Users or Update Data Users).
